What is Budi Tours?

Years of experience have taught us that booking a long journey with a local organization brings uncertainty. On this page we explain our company, working method and the conditions that we apply.

Our company

Budi Tours is a 100% Indonesian company. We have been operating from Yogyakarta, Java, since 2007. We do not have a branch or office in Europe. We also compile your journey from here, our conversations take place via e-mail and / or skype. From this city we also prepare your journey and guide your journey. At our office in Yogyakarta people work with whom you have direct contact.

Contacts

We work together with local people on the various islands. We prefer local small businesses. Often these are sole traders or family businesses. However, this is not possible on every island or sometimes sole traders grow into larger companies. For us it is most important that your trip has a good mix of seeing what there is to see and having a local experience, in our opinion this mix provides that unforgettable experience. Guiding your journey as well as possible has our piority and to achieve this, good cooperation with local parties is important.

PACKAGE TOUR

Booking: On our site you see the journey that you would like to make, then the following steps are quickly made. You email us which trip (each package has a title or code) you would like to make and (if already known) what your arrival and departure date is (you buy an international airline ticket yourself). We then send this trip for confirmation in a travel schedule, you agree on that travel schedule and that is a so-called "firm booking" (if you change something it becomes a customized trip).

Planning your trip: We are now planning your trip. First we book hotels for the desired rooms on your travel dates. We also plan a driver and car and record (if necessary) excursions. When all of this has been confirmed to us in writing by our local people, we will email you a "booking confirmation" and we will immediately send the invoice for the trip with the details for payment.

Room not available: the desired room is not available, we will immediately offer an alternative. If possible within the same price range. The offered alternative is often blocked (is always always an option in high season). You receive a customized quote (quote) and then we discuss / email it with you. Only after your agreement will a definitive schedule be made again and after approval we will plan your trip definitively. When you have received a booking confirmation and an invoice, the trip is confirmed and booked.

Communication between booking and trip: There is sometimes a long time between a confirmed journey (confirmed booking) and the first payment date. A time in which questions can always be asked but intensive contact is not necessary. As soon as your journey almost starts, the contact becomes more intensive again.

Receipt payment: When we have received the full payment (see our payment conditions), you will receive vouchers (if desired and necessary), telephone number of your first driver and a detailed travel plan. It contains important information such as train departure times or pick-up times on certain days again.

During trip: During your trip we always keep in touch with your driver or supervisors, but there are also times when we will talk to you personally. If you have any questions, you can do so directly (we provide telephone numbers before the start of the journey in the 'information guest booking' document) or via your driver.

After the trip: At the end of the trip you will receive an email with an evaluation form.

CUSTOMIZED TRAVEL

The contact moments are always more intensive during a customized trip. It is to find out exactly where your travel wishes lie. After an initial contact in which you indicate to which island you want to go, with how many people in which period and what kind of trip you want to make (nature, culture, very active or rather more beach) we will get started and translate these wishes into a (first) travel schedule.

Intention to book: We often call a first itinerary a talk. It is a first draft. Based on the given travel wishes, we make a first travel schedule (V1) including a suitable quote. You provide feedback on this and then we will email a modified proposal and then you will give comments (or perhaps it is entirely satisfactory). If you are satisfied with the proposed travel schedule and arrival and departure dates are known, we will check the availability of rooms. We will then email a final itinerary with a suitable quote.

Booking: As soon as the arrival and processing date are known, we will make a final travel schedule and after agreeing to that final proposal, a so-called "firm booking", we will start planning your journey definitively. Rooms are confirmed definitively, we schedule driver and car and record excursions.

Payment terms

If you choose a trip with Budi Tours and have made a booking and Budi Tours has confirmed this booking, the following payment conditions apply:
a. 40% of the total amount within 1 week after booking (if necessary due to early booking of train tickets or other costs to be incurred).
b. 60% of the total sum to be paid no later than 4 weeks before arrival in Indonesia.
Payments necessary to guarantee a booking of rooms / villa can be charged directly.
If the departure date is within 30 days of arrival date we will invoice 100% immediately (the total travel sum).

Cancelation

In a case of cancelation we apply the following cancellation conditions:

  • Cancellation from the 18th day (incl.) Up to the 14th day (excl.) Before the arrival day: 30% of the total travel sum,
  • Cancellation from the 14th day (incl.) Up to the 7th day (excl.) Before the arrival day: 50% of the total travel sum,
  • For cancellations from the 7th day (incl.) Before the arrival date 100% of the travel sum.

Terms and conditions

Budi Tours is a small company and the people we work with are often small self-employed. This ensures that we can put together a trip well and at a competitive price, but also that an unexpected rise in costs cannot be "borne" by us. All our offers are therefore linked to a number of conditions and conditions.

  • he prices stated in a given quotation are only valid in accordance with the given travel schedule. In the event of changes to this schedule (place, days, dates or hotel) we compile a new offer.
  • We can only give a guarantee on the availability of room (s) after receiving a definitive booking (firm booking).
  • Quotations given are (only) valid for a certain time. The expiry date is indicated in your travel schedule.
  • Tenders are based on the recent situation in Indonesia. We reserve the right to pass on any subsequent increase in petrol prices (BBM) or unannounced entrance price increases by the Indonesian government afterwards.
  • Excursions have been prepared based on the current situation in Indonesia. Naturally, any natural phenomena cannot be predicted and may cause the route or day planning to be adjusted (on site). Any additional costs are for the account of the traveler.
